Welcome to the Training Resource And Information Network!

TRAIN is a computerized database of educational and vocational training programs and other social services available in New York City. TRAIN has been developed by the Fund for the City of New York, with initial funding from the New York State Education Department, the New York State Department of Labor, the New York City Department of Employment, and the New York State Department of Social Services.

TRAIN provides a comprehensive listing of up-to-date, easy to access program information for referral counselors in public and private agencies throughout New York City. It replaces hardcopy listings, which are difficult to access because they cannot be extensively cross-referenced or distributed, and which quickly become out-of-date. TRAIN is intended to help counselors and agencies make better referrals and to provide programs that are listed with an effective means of communicating their services to a wide audience.

TRAIN Educational and Vocational data are collected and compiled by TRAIN staff, in cooperation with the NYC Office of Employment Services, the Department of Youth and Community Development, City University of New York, the NYC Board of Education Office of Adult and Continuing Education, the NYSED Office of Vocational and Educational Services for Individuals with Disabilities (VESID), and the Literacy Assistance Center.

TRAIN Child Care Data are collected and compiled by TRAIN staff in cooperation with the NYC Agency for Child Development and the NYC Department of Health.

TRAIN Substance/Alcohol Abuse Treatment Program data are collected and compiled by TRAIN staff in cooperation with the New York State Office of Alcoholism and Substance Abuse Services.

You can use this tutorial to help yourself get started with TRAIN-DOS and to familiarize yourself with its features. Online help for TRAIN is available at any time by pressing the [F1] key.

TRAIN is available in two versions: one for DOS, which is installed on a compatible PC, and one that is accessible over the Internet, from any computer or location. Each version may be subscrived to seperatedly, but subscribers to TRAIN-DOS also receive free access to the Internet version of TRAIN, which is located at [ http://www.nytrain.org ]. You will need to know your site-ID and password, which you can obtain by calling us at (212) 274-8445. While we can provide assistance with TRAIN on the Internet, we cannot provide assistance with connecting to your Internet Service Provider, or installing hardware and software.

This tutorial contains three sets of lessons, one for each type of service. It is intended to teach you how to use the TRAIN software; however, it is NOT intended to explain how to make a good referral. If you would like training in making various types of referrals, contact TRAIN at the above number and we will put you in touch with the appropriate agencies.

 



GETTING STARTED WITH TRAIN-DOS

Speak to the TRAIN coordinator at your site to find out how to start TRAIN. Usually, you will type in TRAIN at the C:\ prompt and press [ENTER]. If you are running Windows 95 or higher, you may be able to double-click the blue TRAIN icon on your desktop.

The first screen, titled "TRAIN Referral System" will come up. It describes TRAIN and includes (in the top right area) the date on which your databases were last updated. At any time, you may press the [F1] key to get help and information on the screen you are using. Throughout this tutorial, a keyboard key will be designated by brackets: [ ] , as in [F1]. These are to be distinguished from "buttons" which are explained below.

On the bottom of the screen you will see the words <Continue> and <Quit>. Press the left and right arrow keys. Notice that the highlight bar moves from <Continue> to <Quit>. The selections <Continue> and <Quit> are called "buttons." You will see a lot of these in TRAIN. When a "button" is highlighted and you press the [ENTER] key, you make that selection. Also, you will notice that one letter of a "button" will be highlighted or have an arrow beneath it. You can press that letter on the keyboard at any point on the page to make that selection.

Now, use the arrow keys to highlight the <Continue> button and press the [ENTER] key. This brings you to the TRAIN Main Menu of Services.

From now on, whenever the tutorial tells you to select a button, use the TAB or arrow keys to move to that button and press the [ENTER] key, or press the highlighted letter as described above. This is the same as selecting a button.

THE MAIN MENU:

TRAIN's Main Menu contains the list of services for which TRAIN provides referral information. The list includes Vocational and Educational Services, Child Care Services, and Substance Abuse Treatment Services. At this screen you can also search by the name of the organization or agency, if you know it. This option will let you search all three categories of services at once.

To access information in any of these areas, simply press the up and down arrow keys until the name of the area you want is highlighted and press the [ENTER] key.

USING THE EDUCATIONAL & VOCATIONAL SERVICES SCREENS

LESSON 1:

HIGHLIGHTS:

 

THE SITUATION:

Your are assisting an individual who would like to go back to school for a High School Equivalency Diploma/GED. He lives in Brooklyn and would like to attend training in Brooklyn.

 

THE SOLUTION:

If you selected <Educational and Vocational Services> at the Main Menu, you are now looking at the Educational & Vocational Services Screen.

This screen is split into a top part and a bottom part. The top part contains three sets of menu choices: PROGRAMS, SPECIFIC NEEDS, and SYSTEM. The bottom part of the screen may already show one or two selections under the category "All Programs Must." These choices are determined by your TRAIN coordinator. If they do not meet your needs, please speak to your TRAIN coordinator about changing them.

When you are looking for a program in TRAIN, you build a request, using the menus. TRAIN displays the request you are building in the bottom part of the screen. Then, when you are done building your request, you select <Go Find Programs>. TRAIN then displays the programs that meet your request.

Notice that the <Educational> button in the PROGRAMS menu is highlighted. Press [ENTER].

When you do this, the Education Selection menu appears in the middle of the screen. Select <General Education Development GED>. The Educational menu disappears. Notice that on the bottom of the screen, it now says "GED". TRAIN remembers your request for you.

Now you need to tell TRAIN that you want the program to be in Brooklyn. Select the <Geographic> button in the SPECIFIC NEEDS menu.

A small window appears that says: <Select by Subway>, <Select by Borough>, <Select by Zip Code>, <DONE>. Select the <Select by Borough> button.

Another small window appears that lists the boroughs. Select <Brooklyn>. Notice that a small star (*) appears next to Brooklyn. Also, the highlight bar moves down to <Queens>. Now you know that Brooklyn is selected. Press the down arrow key to move out of the box. Move to <DONE> and press [ENTER].

Notice that on the bottom of the screen it now says "Be located in the Borough(s): Brooklyn". Select <DONE> in the Geographic Selections screen.

Now you are ready for TRAIN to look for programs that meet your request. Select <Go Find Programs> in the SYSTEM menu. It may take TRAIN several seconds to find your programs.

When TRAIN has finished the search, you will see a screen that shows the first four programs meeting your request, with a bar of instructions at the bottom. Take a few moments to look at the programs that TRAIN is showing you. You will notice that they are all GED programs in Brooklyn.

On the bottom left of the screen is displayed the total number of programs that were found. To the left of each program is a number that shows where you are in the list.

The list is ordered by how soon the program is available. Those programs having the same availability are displayed alphabetically by Service Provider (or "vendor") name. The address of the training site, a phone number for referrals, and some requirements and restrictions for entry are also shown.

Notice the instructions at the bottom of the screen:

Use the [Page Up] and [Page Down] keys to look through the pages of programs.

Use the [Home] and [End] keys to go to the top of the list or to go to the bottom of the list.

Press [F4] Print All to get a printout similar to what is shown on the screen, but listing information on ALL programs found.

When you are finished, press [ESC]. TRAIN will ask if you really want to return to the Educational/Vocational menu. Select <Yes>. When the Educational/Vocational menu comes back up, move the highlight bar to <Clear Selections> and press [ENTER]. This clears out your request. Again the system will ask you if you are sure. Reply <Yes>. Notice that the request on the bottom of the screen is cleared off.

 


LESSON 2:

HIGHLIGHTS:

 

THE SITUATION:

Your are working with an individual who speaks only Spanish and seeks a GED. She would like to begin training within six months.

THE SOLUTION:

Select the <Educational> button in the PROGRAMS Menu. When the list of Educational options comes up, select <GED>. Then select <Language> in the SPECIFIC NEEDS Menu. Move to <Spanish> and press [ENTER]. Notice that the bottom of the screen now indicates: "Speak Spanish". Now move to <Availability> and press [ENTER]. You can use this screen to narrow down your search for programs that are available within a specified period of time. Select <Within 6 Months>.

Now select <Go Find Programs> and wait a few moments for the programs to be selected.

Again the list of selected programs will appear. Press [Page Up] and [Page Down] to look through them.

Many programs offer combinations of skills and education. As you page down on this screen, notice the line that says "THE FOLLOWING PROGRAMS OFFER WHAT YOU REQUESTED, BUT NOT AS A PRIMARY COMPONENT". The programs following this line offer the type of training that you requested (GED), but in combination with something else.

Now, you wish to see more detailed information on a particular program. Highlight that program by using the arrow keys, and press [F3].

The screen that you now see is the first of four pages of information that describe the program in more detail. Notice the buttons on the bottom of the screen. We will use these buttons later.

Look at the upper right hand corner. It tells you the number of the program that you are looking at. It also says "Page 1 of 4". Page 1 describes the content of the program, the training location of the program, and provides referral and intake information. It also indicates the date that TRAIN last received information on this program.

Press the [Page Down] key, and look at the upper right hand corner. It is still on the same program, but now it says "Page 2 of 4". Take some time to look at the information on this page. It shows restrictions and requirements for entry into the program, as well as the travel directions for getting to the training site.

 

Press the [Page Down] key again, and look at the upper right hand corner. It is still on the same program, but now it says "Page 3 of 4". Take some time to look at the information on this page. It provides miscellaneous additional information on the program, the vendor address, and any applicable fees or costs.

Press the [Page Down] key again, and look at the upper right hand corner. It is still on the same program, but now it says "Page 4 of 4". Take some time to look at the information on this page. It shows cycle dates, scheduling information and facilities information. It also indicates whether this is a program that accepts enrollment continually, or if it has specific start and end dates.

The individual would like a printout of this program. Select the <Print> button. All four pages of data will print out on one sheet of paper.

You can press [Page Up] to review previous pages if you wish. When you are finished, select <DONE>. You will return to the "Listing of Programs found to meet your Request" screen.

Press the [ESC] key when you are finished looking at the list. A window will appear asking if you are sure you are finished. Select <Yes>.

When the Educational / Vocational menu comes back, move to the <Clear Selections> button and press [ENTER]. This clears out your request. Again the system will ask you if you are sure. Reply <Yes>.


LESSON 3:

HIGHLIGHTS:

THE SITUATION:

You are assisting an individual who would like to get training in secretarial or word processing skills. She prefers that the training be in Manhattan or Brooklyn, has a small child, and prefers that there be child care on site. She does not have a High School Diploma.

THE SOLUTION:

Select the <Vocational Skills> button from the PROGRAMS Menu. A menu will appear entitled "Vocational Selections" that lists several vocational skill areas. Select <Clerical / Banking>.

Another menu appears which lists several specific skill areas within <Clerical / Banking>. Buttons on the top of the menu say <Select All>, <Clear All>, and <DONE>. There are also small triangles under the buttons. Whenever you see a triangle under a letter, you can press that letter anywhere on the screen and it is the same as selecting that button.

Use the up arrow key to move to the <Select All> button, and press [ENTER]. Notice how stars appear next to each entry in the list. This means that you have selected all of them.

Select the <Clear All> button. A pop-up screen will ask you if you are sure that this is what you want to do. Select <Yes>. All the stars disappear.

Now press the [A] key. This works just the same as the <Select All> button. Press the [C] key. This works just like the <Clear All> button.

Now we will make the selections that you are really looking for. Use the down arrow key to move down into the list. Press [ENTER] on the skill areas that include secretarial or word processing components. Notice that when you press [ENTER] a star appears next to that selection, meaning that it is selected. Keep pressing the down key even if you get to the bottom of the page. The list is longer than the page, and there may be some selections you have not seen yet. If you are using a mouse, you can scroll through the selections by using the scroll bar on the right hand side of the menu.

Let us assume that you are not sure what a specific skill is about. Press [F2]. This brings up the Classification of Instructional Programs description of the skill currently highlighted. Press [ESC] to close the CIP code screen.

When you are finished making selections, select the <DONE> button (using the up arrow key to move to the button or by pressing the [D] key). The sub-menus will disappear. On the bottom part of the screen, you will see the words "CLERICAL / BANKING", indicating that you have requested vocational skill areas within that category.

Now move to the <Geographic> button and press [ENTER]. When the Geographic menu appears, select the <By Borough> button. Move down the list and select <Manhattan> and <Brooklyn>. Then select <DONE> or press [D].

Now select <DONE> from the Geographic Selection screen (or press [D]).

Move to the <Special Needs> button and press [ENTER]. On this window you can make selections for facilities that have day care and/or disabled access. Select <Yes> under Day Care. Then select <DONE> or press [D].

Now move down to the <Educational Level> button and press [ENTER]. This screen is used to filter out programs that are not appropriate. From the list given you can select one category into which the individual falls. In this case select <Do not require a High School Diploma or GED> and press [ENTER]. This indicates that the individual does not already have her GED. Then press <DONE>.

Now select the <Go Find Programs> button. Wait a few moments while TRAIN searches for your programs.

Once the list has appeared, press [F3] to see detailed information on one of the programs. In the last lesson we only looked at the four pages of data for one program. Now we will look at data for several programs.

The first page of data for this program appears. Notice the number of the program in the upper right corner. The <Next Program> button is already highlighted; press [ENTER].

The first page of data appears for the next program. Notice the number in the upper right corner. Now select <Prior Program> to get back to the first page of the program you were just viewing. (You can also press [P] for "Prior", since it is a highlighted letter.)

Now press [Page Down]. This brings you to the second page of this program. Now if you select <Next Program>, it moves you to the second page of the second program. Keep selecting <Next Program> to look at this page for several programs. Notice that none require a High School diploma or GED.

Sometimes descriptions of programs will be longer than the space on the screen. When this happens you will see a button marked <MORE> near the description. Click on this button to see the full description on a separate screen. When you are finished reading the additional information, you can press [ENTER] or click the mouse anywhere on the screen to return to the program listing.

Select the <DONE> button or press the [D] key when you are done, to return to the list of selected programs. Press [ESC] when you are finished.

Return to the Educational & Vocational Services menu and select <Clear Selections>.

 


LESSON 4:

HIGHLIGHTS:

  • Job Placement Option
  • Searching by Daily Schedule
  • Searching by Income Restrictions

THE SITUATION:

The individual is looking for Job Placement services that are available within the month and during weekday evening hours. He is a dislocated worker.

THE SOLUTION:

Select the <Job Placement or On the Job Training> button. A submenu will appear. Select <Job Placement Only>. The words "JOB PLACEMENT SERVICES ONLY" will appear in the bottom area. Then select the <Availability> button, and choose <Immediately>. Now select the <Daily Schedule> button. This brings up a grid of days of the week and times of the day. You can move around the grid using the arrow keys or [TAB] key. Use the down arrow to move down to the "Evening" row. Press [ENTER] in the Monday evening box. An "X" appears. Put "X"s in the Tuesday through Friday boxes as well. Then use the TAB key to move to <DONE>, or just press the [D] key. Notice that at the bottom of the screen, it now says "Adhere to the Schedule Entered."

Now move to <Income Restrictions> and press [ENTER]. Select <Dislocated Worker> from the list on the submenu. Notice that an "X" appears in the brackets. When TRAIN searches for programs that meet your request, those that target dislocated workers will be listed first, followed by those programs that accept dislocated workers. Select <DONE>. The screen will indicate "Service Certain Income Categories." Select <Go Find Programs>.

It may happen that no programs appear which meet your needs. Try going back to the<Daily Schedule> button and pressing [C] to clear all entries. Try selecting <Go Find Programs> again, and see if more programs come up.

When you are finished, move to the <Clear Selections> button and press [ENTER]. This clears out your request. Again the system will ask you if you are sure. Reply <Yes>.

 


LESSON 5:

HIGHLIGHTS:

THE SITUATION:

The individual you are assisting is deaf, and is eligible for VESID financial assistance. She would like to attend a program which will help her evaluate her vocational options.

 

THE SOLUTION:

Move to the <Pre-Vocational/Career Counseling> button and press [ENTER]. To see definitions for some of these services, select <Definitions of Some Services> at the bottom of this window. Here you can read descriptions of services such as Personal Adjustment Training, and Diagnostic Vocational Evalution, to determine which may be best for the person you are working with. Select [ESC] and <DONE> to finish viewing the defintions. (You can also see these definitions from the main menu, by selecting <Voc/Rehab – General Information> at the bottom of the "SYSTEM" window.)

Move down into the <Pre-Vocational/Career Counseling> list by using the [TAB] or arrow keys. Select <Diagnostic Vocational Evaluation> and press <ENTER>. Then select the <Special Populations> button, click <Continue> and indicate that the individual is deaf by selecting <Deaf> from the list of special populations. Select <Done> when you are finished. By doing this, programs that do not serve deaf individuals will not be listed, and programs that target deaf individuals will be listed first.

A Note About Special Populations: You do not need to select each category to which the individual might belong. In fact, it is better to use only one or perhaps two primary categories: such as Deaf, or Physically Disabled, or Immigrant and/or Refugee. The more categories you choose, the fewer programs you will be likely to find.

Go to the "SYSTEM" menu and select <Go Find Programs>.

When the proram list appears, notice the bottom line of each record. It will say "Targets" or "This program Targets:" which tells you what the targeted population(s) for that program are. Since you searched for "Deaf" the top several programs should say "Targets: Deaf." Programs that target deaf individuals will be listed first, followed by all programs that accept deaf individuals. If any programs are not equipped to accomodate deaf individuals, they will not be listed. As always, programs will be listed in alphabetical order. Choose a program of interest and press [F3]. Use [Page Up] and [Page Down] to move through the pages.

Now let us assume that you have called the referral contact and have additional information about the program. Move to the <User Notes> button and press [ENTER]. This gives you the User Notes screen, where you can write your own notes.

Type in your notes and press [F2] when you are finished. Press [ESC] if you wish to cancel without saving. If you save them, notice that in the upper right of the screen the characters "UN" appear. Anytime you see "UN", you know that there are User Notes for this program and that you should check them. It is possible to remove these notes, by deleting them from the User Notes screen. If you delete everything from the User Notes screen, the "UN" characters will no longer appear. When you are finished, return to the Educational & Vocational Services Menu and clear your request.

USING THE CHILD CARE SERVICES SCREENS

LESSON 1:

HIGHLIGHTS:

 

THE SITUATION:

You are working with an individual who wishes to find a family day care provider for her child. This person lives in Brooklyn and would like to find care in Brooklyn.

 

THE SOLUTION:

If you selected <Child Care Services> after entering the Main Menu, you are now looking at a note that recommends that you look at the <Choosing Quality Child Care> topic in the <Procedures and Protocols> submenu. Press [ENTER] to continue. (For more information about making a referral to a child care provider, select <Procedures & Protocols> from the SYSTEM Menu. You will be provided with a list of topics related to child care referrals.)

To see more information about an area, simply select the topic you want to see and press [ENTER]. If you are not familiar with the TRAIN child care screens, it is recommended that you read these topics, especially, "Choosing Quality Child Care". Select <DONE> when you are finished.

The CHILD CARE SERVICES menu is split into a top part and a bottom part. The top part contains four sets of menu choices: PROGRAM TYPE, SPECIFIC NEEDS, SYSTEM, and OTHER. The bottom part is blank.

When you are looking for a program, you build a request, using the menus. TRAIN displays the request you are building in the bottom part of the screen. Then, when you are done building your request, you select <Go Find Programs>. TRAIN then displays the programs that meet your request.

Select <Family Day Care Networks> in the PROGRAM TYPE menu.

When you do this, the Family Day Care Network screen appears. Take some time to read what Family Day Care Networks do. TRAIN asks if you wish to search for Family Day Care Networks. Select <Yes>. The menu disappears. Notice that on the bottom of the screen, it now says "Family Day Care Networks". TRAIN remembers your request for you.

Now you need to tell TRAIN that you want a Family Day Care Network that serves Brooklyn. Select <Geographic> in the SPECIFIC NEEDS menu.

A small window appears that says: <Select by Subway>, <Select by Borough>, <Select by Zip Code>, <DONE>. Select the <Select by Borough> button.

Another small window appears that lists the boroughs. Select <Brooklyn> and press [ENTER]. Notice that a small star (*) appears next to Brooklyn. The highlight bar moves down to "Queens". Now you know that Brooklyn has been selected. Press the [TAB] key or the left or right arrow key to move out of the box. Select <DONE>.

LESSON 2:

THE SITUATION:

You are assisting an individual who speaks only Spanish and needs to find Pre-School care for her 2 year old child.

THE SOLUTION:

Select the <Pre-School Programs> option from the PROGRAM TYPE Menu, and select <Yes> at the Pre-School Programs Submenu. Then select <Language> from the SPECIFIC NEEDS Menu. Select <Spanish>. Notice that the bottom of the screen now indicates: "Spanish". Now select the <Age> option. Select <2 Years> and press [ENTER].

Now select <Go Find Programs> and wait a few moments for the programs to be selected.

Again the list of selected programs will appear. Press [Page Up] and [Page Down] to look through them.

To see more detailed information on a program, move the highlight bar to that program and press [F3].

The screen that you now see is one of two pages of information that describe the program in more detail. Notice the buttons on the bottom of the screen. We will use these buttons later.

Look at the upper right hand corner. It tells you the number of the program that you are looking at. It also says "Page 1 of 2". This page describes the location and type of program, the name and phone number of the person to contact for referral and intake information, and information on languages spoken at the agency. It also provides the ACD code in case you need it.

Press the [Page Down] key, and look at the upper right hand corner. It is still on the same program, but now it says "Page 2 of 2". Take some time to look at the information on this page. It shows the ages of eligible children, the program's hours of operation, whether the program can accommodate disabled children, meal information, travel directions, and any available remarks.

You can press [Page Up] to review the previous page if you wish. When you are finished, select <DONE>. You will return to the "Listing of Programs found to meet your Request" screen.

Press the [ESC] key when you are finished looking at the list. A window will appear asking if you are sure you are finished. Select <Yes>.

When the Child Care menu comes back, select the <Clear Selections> button. This clears out your request. Again the system will ask you if you are sure. Reply <Yes>.

 


LESSON 3:

HIGHLIGHTS:

THE SITUATION:

You are assisting someone with a school age child. The individual would prefer that the care provider be located in Manhattan, and that it be near the "A" subway.

 

THE SOLUTION:

Select <School Age Programs> from the PROGRAM TYPE Menu, and select <Yes> from the School Age Programs Submenu. When you are done, select <Geographic> from the SPECIFIC NEEDS Menu. When the Geographic menu appears, select the <Select By Subway> button. The Subway Selection screen appears. Here you can specify a subway line, and all selected programs will be near that line. (You can select as many subway lines as you want.) Press the [A] key in the box, and press [ENTER]. Notice how "A" appears on the bottom of the window. Using the arrow or [TAB] keys, select <Done>. Then select <Done> again at the Geographic Selections Submenu.

Now select the <By Borough> button. Select <Manhattan>. When you are finished, select the <DONE> button. Then, select the <DONE> button on the Geographic Selection screen.

Now select the <Go Find Programs> button. Wait a few moments while TRAIN searches for your programs.

Once the list has appeared, press [F3] to see detailed information on one of the programs. In the last lesson we looked only at the two pages of data for one program. Now we will look at it for several programs.

The first page of data for this program appears. The <Next Program> button is already highlighted; press [ENTER].

The first page of data appears for the next program. Now select <Prior Program> to get back to the first page of the program you were just viewing. (You can also press [P] for "Prior", since it is a highlighted letter.)

Now press [Page Down]. This brings you to the second page of this program. Now if you select <Next Program>, it moves you to the second page of the second program. Keep selecting <Next Program> to look at this page for several programs. Notice that they are all in Manhattan and near the "A" train.

Select the <Done> button or press the [D] key when you are done, to return to the list of selected programs. Press [ESC] when you are finished.

Return to the Child Care Services menu and select <Clear Selections>.

 


LESSON 4:

HIGHLIGHTS:

THE SITUATION:

The individual you are working with has two children, ages six months and three years. She is looking for afternoon programs for both of them. She is looking for a Head Start program for the three year old, who is physically disabled.

 

THE SOLUTION:

You will have to perform two searches; one for each child. Begin with the infant.

Select the <Infant Care> button. When the Infant Care Menu comes up, select <Yes>. Now select the <Daily Schedule> button. This brings up a grid of days of the week and times of the day. You can move around the grid using the arrow keys or [TAB] key. Use the down arrow to move down to the "Afternoon" row. Press [ENTER] in the Monday afternoon box. An "X" appears. Put "X"s in the Tuesday through Friday boxes as well.

Notice that there is a small arrow under the "D" in "DONE". Whenever you see an arrow placed under a letter in this fashion, you know that pressing that letter has the same effect as selecting that button. Now press the [D] key for <DONE>. Then select <Go Find Programs>.

When you are done looking at the list, hit the [ESC] key to return to the Child Care Services Menu.

Now, select <Head Start> from the PROGRAM TYPE Menu. Select <Yes> (or press [Y]) on the Head Start screen. Then select the <Special Needs> button and indicate that the child is <Physically Disabled>. Select <DONE>. Notice that since you have NOT cleared your selections, the Daily Schedule information that you selected is still part of the search. Now select <Go Find Programs>.

When the list appears, choose a program of interest and press [F3]. Use [Page Up] and [Page Down] to move through the pages.

If you wish to give the individual a print-out of the program information, select the <Print> button to produce a print-out from your printer.

Now let us assume that you have called the referral contact and have additional information about the program. Select the <User Notes> button. This gives you an area where you can write your own notes. Type in your notes and press [F2] when you are finished. Press [ESC] if you wish to cancel without saving. If you save them, notice that on the top of the screen the characters "UN" appear. Anytime you see "UN", you know that there are User Notes for this program and that you should check them. It is possible to remove these notes, by deleting them from the User Notes screen. If you delete everything from the User Notes screen, the "UN" characters will no longer appear.

When you are finished, return to the Child Care Services Menu and Clear your request.

 


LESSON 5:

HIGHLIGHTS:

 

THE SITUATION:

An individual wants to report that a particular child care center did not treat her child appropriately, and she would like to report it to a responsible government agency.

THE SOLUTION:

Move to <Helplines / Hotlines> on the Child Care Services menu and press [ENTER]. A screen will come up that lists Helplines and Hotlines associated with Child Care.

 

Press <Page Down> until you find an entry that you think would be helpful, or select <F4> Print All to make a printout. Select <Done> when you are finished.

To exit the Child Care Services menu, Select <Return to Main Menu> in the SYSTEM column. This will return you to the TRAIN Main Menu.

USING THE SUBSTANCE & ALCOHOL ABUSE TREATMENT SERVICES SCREENS

LESSON 1:

HIGHLIGHTS:

 

THE SITUATION:

You are assisting an individual who would like to break an addiction to drugs, and wishes to undergo detoxification at an inpatient or residential facility. This person lives in Queens and would like to be treated in Queens.

THE SOLUTION:

If you selected Substance / Alcohol Abuse Treatment Services from the Main Menu, you are now looking at the SUBSTANCE / ALCOHOL ABUSE TREATMENT SERVICES menu.

This screen is split into a top part and a bottom part. The top part contains four sets of menu choices: a column for search methods (by environment, modality, and substance), SPECIFIC NEEDS, SYSTEM, and OTHER. The bottom part is blank.

The lefthand column, for search methods, lets you select the type of program you need. Notice that there are three search methods. You can search using any combination of these three methods:

-The SPECIFIC NEEDS menu helps you to narrow down your search according to various specific needs of the individual.

-The SYSTEM menu is used to give commands to TRAIN.

-The OTHER menu contains information that may help you make a good referral to a Substance/Alcohol Abuse Treatment facility.

When you are looking for a program in TRAIN, you build a request, using the menus. TRAIN displays the request you are building in the bottom part of the screen. Then, when you are done building your request, you select <Go Find Programs>. TRAIN then displays the programs that meet your request.

Select <Inpatient / Residential> button in the Environment submenu. When you do this, the Inpatient / Residential Selection menu appears in the middle of the screen. Read the text, and select <Both>. The Inpatient / Residential Selection menu disappears. Notice that on the bottom of the main screen, it now says "Inpatient, Residential Care". TRAIN remembers your request for you.

Now move down and select the <Detoxification/Crisis> button in the Modality submenu. The Detoxification selection screen will appear; it asks you if you want to search for detoxification programs. Read the text, and select <Yes>. The Detoxification selection screen disappears, and "Detoxification/Crisis Services" appears on the bottom.

Now you need to tell TRAIN that you are looking for a program in Queens. Select the <Geographic> button in the SPECIFIC NEEDS menu. A small window appears that says: <Select by Subway>, <Select by Borough>, <Select by Zip Code>, <DONE>. Move to the <Select by Borough> button and press [ENTER].

Another small window appears that lists the boroughs. Select <Queens>. Notice that a small star (*) appears next to Queens. Also, the highlight bar moves down to <Staten Island>. Now you know that Queens has been selected. Press the left or right arrow keys to move out of the box. Select <DONE>.

Notice that on the bottom of the screen it now says "Be located in the Borough(s): Queens". Select <DONE> on the Geographic Selections screen.

Now you are ready for TRAIN to look for programs that meet your request. Select <Go Find Programs> in the SYSTEM menu. It may take TRAIN several seconds to find your programs.

When TRAIN has finished the search, you will see a screen that shows the first four programs meeting your request, with a bar of instructions at the bottom. Take a few moments to look at the programs that TRAIN is showing you. You will notice that they are all residential or inpatient detoxification programs in Queens.

On the bottom left of the screen is displayed the total number of programs that were found. To the left of each program is a number that shows where you are in the list.

The list is ordered alphabetically by Service Provider name. The name of the program, the address of the site, a phone number for referrals, and the ages served are all shown.

Notice the instructions at the bottom of the page. Use the [Page Up] and [Page Down] keys to look through the pages of programs. Use the [Home] and [End] keys to go to the top of the list and to go to the bottom of the list.

Press [F4] Print All to get a printout similar to what is shown on the screen, but listing information on ALL programs found (refer to lower left corner of the screen to see how many programs were found). When you are finished press [ESC]. TRAIN will ask if you really want to return to the Substance / Alcohol Abuse Treatment menu. Select <Yes>. When the Substance / Alcohol Abuse Treatment Menu comes back up, select <Clear Selections>. Again the system will ask you if you are sure. Reply <Yes>. Notice that the request on the bottom of the screen is cleared off.

 


LESSON 2:

HIGHLIGHTS:

THE SITUATION:

You are assisting an individual who speaks only Spanish and cannot afford to pay for treatment. She is not eligible for Medicaid. She has been off drugs for a few months, but would like to find an ongoing program for people who are substance free. She does not want to attend full-day treatment, so an outpatient program is most appropriate.

THE SOLUTION:

Select <Outpatient / Day Service> from the Environment Menu. When the Outpatient / Day Service Menu comes up, read the accompanying text, and then select <Outpatient Care>. Then move down and select <Other Clinical/Drug-Free> from the Modality menu. The Ongoing Drug-Free screen will appear and ask you if this is the type of program you wish to search for. Reply <Yes>. Now select <Language> from the SPECIFIC NEEDS menu, and when the list of languages appears, select <Spanish>. Notice that the bottom of the screen now indicates: "Spanish". Now select <Fee or No Fee>. Select <No Fee only>.

Now select <Go Find Programs> and wait a few moments for the programs to be selected.

Again the list of selected programs will appear. Press [Page Up] and [Page Down] to look through them.

Let us assume that you wish to see more detailed information on a program. Select a program and press [F3].

The screen that you now see is the first of four pages of information that describe the program in more detail. Notice the buttons on the bottom of the screen. (We will use these buttons in the next lesson to move through different programs.)

Look at the upper right hand corner. It tells you the number of the program that you are looking at. It also says "Page 1 of 4". This page describes the content of the program, the location of the program, and provides referral and intake information. It also tells you when we last received information for the program.

Press the [Page Down] key, and look at the upper right hand corner. It is still on the same program, but now it says "Page 2 of 4". Take some time to look at the information on this page. It shows target populations and those populations that the program cannot accept, languages spoken, as well as the travel information for getting to the treatment site.

Press the [Page Down] key again, and look at the upper right hand corner. It is still on the same program, but now it says "Page 3 of 4". Take some time to look at the information on this page. It shows any additional information on the program, the agency address, and schedule and capacity information.

Press the [Page Down] key again, and look at the upper right hand corner. It is still on the same program, but now it says "Page 4 of 4". Take some time to look at the information on this page. It shows information on fees, payment methods, and whether or not the program offers child care or handicapped access. Note that the program is no cost.

You can press [Page Up] to review previous pages if you wish. When you are finished, select <DONE>. You will return to the "Listing of Programs found to meet your Request" screen.

Press the [ESC] key when you are finished looking at the list. A window will appear asking if you are sure you are finished. Select <Yes>.

When the Substance / Alcohol Abuse Treatment Menu comes back, select <Clear Selections> from the SYSTEM Menu.

 


LESSON 3:

HIGHLIGHTS:

THE SITUATION:

You are working with an individual who seeks Methadone maintenance. The individual is in a wheelchair.

THE SOLUTION:

Select <Methadone Treatment> from the Modality Menu, and press [ENTER]. The Methadone Treatment Screen will appear. Take some time to read about Methadone treatment. Select <Yes> when it asks you if you wish to search for Methadone Treatment.

On the bottom part of the screen, you will see the words "Methadone Treatment Services", indicating that you have requested treatment modalities within that category. Now select <Special Needs> from the SPECIFIC NEEDS Menu. In this window you can make selections for facilities that have child care and/or disabled access. Select the <Yes> button under Wheelchair Accessibility. Select <DONE> when you are finished.

Now select the <Go Find Programs> button. Wait a few moments while TRAIN searches for your programs.

Once the list has appeared, press [F3] to see detailed information on one of the programs. In the last lesson we only looked at the four pages of data for one program. Now we will look at it for several programs.

THE SITUATION:

An individual is looking for outpatient or day service ongoing drug-free treatment which is available during weekday morning hours. He is HIV positive.

THE SOLUTION:

Select the <Outpatient / Day Service> button. From the Outpatient / Day Service Menu, select <Both>. Then select the <Ongoing Drug-Free> button, and select <Yes> from the Ongoing Drug-Free screen. Now select the <Daily Schedule> button. This brings up a grid of days of the week and times of the day. You can move around the grid using the arrow keys or [TAB] key. Use the down arrow to move down to the "Morning" row. Press [ENTER] in the Monday morning box. An "X" appears. Put "X"s in the Tuesday through Friday boxes as well.

Notice that there is a small arrow under the "D" in "DONE". Whenever you see an arrow placed under a letter in this fashion, you know that pressing that letter has the same effect as selecting that button. Now press the [D] key for <DONE>. Now select the <Special Populations> button, and select "HIV Positive" from the list of populations.

By doing this, programs that do not serve HIV-Positive individuals will not be listed, and programs that target HIV-Positive individuals will be listed first. Select <Done>.

Go over to the SYSTEM Menu and select <Go Find Programs>.

When you are finished, select <Clear Selections>. This clears out your request. Again the system will ask you if you are sure. Reply <Yes>.

 


LESSON 5:

HIGHLIGHTS:

THE SITUATION:

You are working with someone who is 17 years old, and is multiply addicted to Alcohol and Cocaine. You want to see all of the detoxification programs that provide services for both of these substances.

THE SOLUTION:

Select the <Detoxification/Crisis> button. At the Detoxification screen, select <Yes>. Now, select the <Substance> button. Select <Alcohol> and <Stimulants>. Notice that asterisks appear next to these substances, indicating that they are selected. Select <DONE> to leave the Substance Menu. Now move to the <Age> button and press [ENTER]. Select <16 - 17> and select <DONE>. Then select <Go Find Programs>.

When the program list appears, notice that the substances that it targets are listed on the right. If a program does not treat individuals for the substances selected, it will not be displayed. Programs which accept, but which do not target, these substances are shown at the end of the list.

Select a program of interest, press [F3] and press [Page Down] twice so that you are on the third page, the one that shows Additional Information. Now select <Next Program> or the [N] key to look at the different descriptions for the different programs. Sometimes, the description is longer than the space on the screen. If this is true the word "MORE" will appear on the screen at the end of the Additional Information. Select the <More> button. This shows the full text of the Additional Information. When you are finished reading this screen, you can just press [ENTER] or click the mouse anywhere on the screen to return to the program listing.

Now let us assume that you have called the referral contact and have additional information about the program. Select the <User Notes> button. This gives you an area where you can write your own notes. Type in your notes and press [F2] when you are finished. Press [ESC] if you wish to cancel without saving. If you save them, notice that in the upper right-hand corner of the screen the characters "UN" appear. When you are finished, return to the Substance / Alcohol Abuse Treatment Menu and clear your request.

 


LESSON 6:

For information on how to go about making a referral to Substance or Alcohol Abuse Treatment, select <How to make a good referral> from the "OTHER" menu. You will be provided with a list of topics related to Substance Abuse referrals. To see more information about an area, simply select the topic you want to see and press [ENTER]. When you are finished viewing topics, select <DONE>.

If you do not wish to make a referral yourself, TRAIN provides a list of Helpline telephone numbers, which are related to issues of Substance or Alcohol abuse. To see these telephone numbers, select <Helplines> from the "OTHER" menu. When finished, select <DONE>.

To exit the Substance / Alcohol Abuse Treatment Services Menu, select <Return to Main Menu> in the SYSTEM Menu. This will return you to the Main Menu.

USING THE "SEARCH BY ORGANIZATION NAME KEYWORD" SCREENS

HIGHLIGHTS:

THE SITUATION:

You are assisting someone who has a friend who is enrolled in a vocational training program at Federation Employment Guidance Service/FEGS. She is interested in this program and would also like help in finding a job.

THE SOLUTION:

From the TRAIN Main Menu of Services, select <Search by Organization Name Keyword> and press [ENTER]. In the space provided, type at least three letters of the name of the organization; in this case type either "FEGS" or "Federation." If you type "FEGS" the full name of the organization will appear on the screen. If you begin typing "Federation" you will notice that several organization names flash on the screen. When you stop typing (at any point beyond "Fed" you may stop) you should see Federation Employment Guidance Services among the list of organizations given. Select it by highlighting it and pressing [ENTER], or by double-clicking with the mouse. Then select <Organization Details> at the bottom of the screen.

This screen will give you brief information about the organization you selected: the full name, address, and the type of services offered by the organization. To view a list of programs offered by this organization, press [F3].

When the program list appears, press [PG DN] until you find an appropriate program, and press [F3] to view detailed information. By using the <NEXT> and <PRIOR> buttons, you can scroll through the programs to compare services, and locate a program that offers job placement assistance.

When you are finished, return to the Search by Organization Name Keyword menu by selecting <DONE> and clear your request by clicking on <CLEAR ALL>.

To exit, select <Return to Main Menu> at the bottom of the screen. This will return you to the Main Menu.
